After the Connection

The connecting was already happening. What was missing was everything downstream of it. A new connection sat there until somebody remembered to write, and most of them were never written to.

The Tuesday Gate

Every email in the system checks the day before it sends. If it is not Tuesday, the workflow waits a day and checks again, so mail leaves on one weekday and no other.

That concentrates the sending instead of trickling messages out whenever a lead happens to arrive. Someone who connects on a Friday joins the same Tuesday send as everyone else that week.

The Phase 1 workflow in GoHighLevel, branching on whether the current day of the week is Tuesday before it checks for a protection tag

The Suppression Gates

Before any send, the workflow checks for a protection tag and a suppression tag. A lead already inside another sequence is stopped there, and a lead who has finished the outreach is marked so nothing picks them up again.

The whole build is shaped by not wanting to burn a cold list. Reaching the same person twice is worse than reaching them once and late, so the gates come before the messages.

The Phase 2 workflow, adding a re-engagement tag and a thirty day wait before the sequence continues

The Pipeline Stages

Opportunities are created and moved by the workflows rather than by hand. A new connection lands in a cold nurture stage, moves on when they engage, and drops to a not interested stage when they say no.

Nobody has to remember to drag a card across a board. The stage is a consequence of what the lead did, so it stays accurate without anyone maintaining it.

The Six Month Return

A lead marked not interested is not deleted. The system tags them, waits six months, then brings them back with a fresh email asking whether anything has changed.

Budgets move. Someone with no use for a caterer in one quarter may have a room to feed in the next, and the wait sits in the workflow so nobody has to keep it in a diary.

The Human Handoff

The sequences do not try to close anything. Once a lead engages, the last step assigns a task to a real person to follow up by phone, and the automation stops there.

Our Own Systems

The two below are AscendyX systems, not Yum Street's. Our own scorecard funnel and our own email templates are built out of the same platform pieces: a landing page feeding a pipeline, and templates written in HTML and CSS by hand so they render the same way across mail clients.

Live, Then Handed Back

The system went live and ran. We built the workflows and coded the templates, and Yum Street did the connecting and the sending. The engagement has finished, and where it goes now is theirs.
